Help - Sending Forms

How does one send a form to anyone for filling?
Step 1 is to upload and save the form in "My Forms". After you have saved the form in My Forms section you can send it in various ways:
1) Sending a Saved Form to Single Party
You can send a form directly by clicking on "Send Form" link.
2) Sending a Saved Form via Workflow
You can send a form directly by clicking on "Send Form" link. You will need to create a workflow before hand to use this option. See Creating Workflows for more information on how to create workflows.


Do I need a On Demand CM account to send a form to anyone?
Yes. You will need a On Demand CM account to send a form to any one to fill. You can send the form to anyone in the world with an email address and the other party does not need to create the On Demand CM account.


Does the form filling party need to have a On Demand CM account?

No. The form filling party can be any one with an email address.


What is difference between forms and documents in On Demand CM?

On Demand CM Platform is very flexible and can handle any kind of content. We typically divide content into 2 types:
1) Documents -  Static Content that you can share with any one and send for signature or collaboration. You can upload any number of documents and save them in My Documents Folder for future use.
2) Forms  - Dynamic content which you can send to others for filling in and then siging if needed. Currently supported form types are pdf, xml and html only. You can upload any number of forms and save them in My Forms Folder for future use.


What are the types of forms that I can send by On Demand CM?
Currently you can send PDF Fillable type forms

What is Offline & Online form filling?
Online Form filling is when the user fills in the form while connected to the internet. Once they fill in all the values, they simply click on Submit button to submit the form
Offline Form Filling is when user downloads the form, saved it in their local computer, fills it and then uploads the form back for processing.
On Demand CM supports both offline & online form filling.


Which one should I use where - offline or online form filling?
For long forms with several pages, offline form filling is recommended. But it is a matter of choice after all.
Please note following regarding forms:
1) For offline form filling, the PDF Form should have "User Rights Enabled" and should allow the user to save the form with values on local machine. For more information on how to Rights Enable a form, click here.
2) For online form filling, user needs to be on
Microsoft Windows OS. If the other party is using any other OS they will not be able to open the form for online filling.


Can I get Signature on forms as well?
Yes. Simply click on 'Get Manual Signature on form as well' when you are sending the form and user will be asked to sign & fax the form after filling it in.


I sent an online form to someone and they cannot open it?
Online forms can only be filled on Microsoft Windows OS. If the other party is using any other OS they will not be able to open the form for online filling. Please use offline forms in that case.


Can I route the forms through workflows?

Yes you can route the forms through workflows, but there can be only one form filler in the whole process and rest of the people can be approvers. You cannot have 2 people in workflow fill in the form.  See Creating Workflows for more information on how to create workflows.


Can I add access code on the forms?

No you cannot add access codes on the forms at the moment.


What is Access Code?
Access Code is an added security measure to protect your documents. While sending a document, you can set up a security access code on the document. What this means is that any one who will try to view/document your sent document will need to know this access code. Access Code can be a 4 digit alphanumeric code that you give to the other party.
Please Note that setting an access code
does not gets embedded in the document itself. Access code is only added at On Demand CM level.
